Exactly what should be in the file you turn into the Transaction Coordinator



  • A signed copy of the Buyer Agency Agreement, if you used one, between you and your buyer.
  • A complete purchase and sale agreement with all pages initialed and signed where needed by all parties.
  • A legal description (this should be attached to the contract and initialed by all parties.)
  • All forms used should be incorporated on the addenda line, #14.
  • All forms referenced on the addenda line #14, or elsewhere in the agreement, need to be in the file.
  • The earnest money check MUST be receipted in one of two ways:
    • 1) Either on page 1, near the earnest money amount line in this way:
      Check #35006 received by Michael Nelson on 1-25-2006.
    • 2) By using the new form where you copy the check onto the form, and fill in the blanks referencing the transaction.
  • In addition, an actual copy of the earnest money check must be in the file! Obviously Tracie can make this copy if the original check is given to her, BUT if the earnest money goes to escrow, or elsewhere, then you must provide a copy.
  • Optional clauses, NWMLS form 22D, needs to be used so that all parties can initial and date the safe harbor clause.
  • A FULL copy of the Form 17 that was delivered to the buyer - AND - it needs to be signed (receipted or waived) by the buyer.
  • A copy of the Lead Based Paint booklet used as a receipt signed and dated by the buyer (for all properties built in 1978 or prior to 1978.)
  • The actual Lead Based Paint addendum, NWMLS Form 22J, filled out and signed by all parties to the contract (for all properties built in 1978, or prior to 1978.)
  • A copy of the Law of Agency pamphlet used as a receipt signed and dated by the buyer.
  • A copy of the NWMLS listing (if it was a listed property) for Tracie - just print one out and include it.
  • A copy of the tax assessor's data, or Metroscan data, on the property you sold.
  • A copy of the marketing flyer for the house you sold.
  • A copy of any info packet that was left in the house for your buyer or you the agent.
  • A copy of the first few pages of the title report you delivered to your buyer.
  • A copy of the letter from your lender (the pre-approval letter) you delivered with your offer.
